Privacy by design
Privacy notice
We only collect what we need to run these tools, and we tell you what that is.
Who we are
The SEND Accountability Project Ltd (Company No. 17420678, ICO Registration ZC252093) is responsible for the information described here.
Free toolkits
You can use, complete, save and print the free toolkits without registering. Your answers are stored only in your own browser on your device. We do not receive them.
Download counts
When a pack or poster is downloaded we record the resource, the time, the website you came from and a one-way scrambled (hashed) version of your network address so we can count unique visitors. We cannot identify you from this.
Feedback
Feedback can be anonymous. School name, role and email address are optional. We only use your email to contact you if you ask us to. Feedback is stored separately from school workspaces and only authorised project staff can read it.
School workspaces (optional)
If your school creates a SENDCO Resource Centre workspace we store each user's name, school email, role and a securely hashed password. Workspace content (toolkit answers, EHCP review tracking, notes and documents) is encrypted and kept in a separate space for each school. Only authorised users from that school can see it, and our staff do not routinely access it. Any support access must be authorised and logged.
Children's information
The platform is not a pupil information system. Company policy is that all child information must be pseudonymised: use reference codes such as Pupil A001, never names, dates of birth, NHS numbers, addresses or photos. Schools remain responsible for making sure anything they enter or upload follows data protection law and their own policies.
Security
We use encrypted connections, per-school encryption keys, an audit trail of sign-ins, account changes, uploads, downloads and report exports, automatic sign-out after 30 minutes without activity, and protection against repeated failed sign-ins.
How long we keep information
[Retention periods for feedback, download counts, audit records and workspaces to be confirmed by The SEND Accountability Project Ltd.]
